School Membership Terms & Conditions
Update July 2026 | Effective 1st September 2026
Welcome to Good Vibes Music Academy (“Good Vibes”, “we”, “us” or “our”). These terms explain how your School Lessons membership works — lessons that take place at your child’s school during the school day. They cover what’s included, what we ask of you, and how things like payments, holds and cancellations are handled.
We’ve written them in plain English so they’re easy to follow. When you sign up to a membership, you’re agreeing to everything set out below. If anything is unclear, just email us at hello@gvma.co.uk and we’ll be happy to help.
What your membership includes
Every School Lessons membership gives you:
• A weekly, 30-minute lesson at your child’s school during term time, unless otherwise agreed.
• Your choice of solo (one-to-one) or group lessons.
• 33 lessons per academic year (see “Your lesson year” below).
• Exclusive access to members-only courses, workshops, performance opportunities and events (additional costs may sometimes apply — we’ll always tell you before you book).
• One-click digital exam entry and book ordering, so entering exams and getting your materials is quick and simple.
2.Your lessons
Format
All lessons last 30 minutes (unless otherwise agreed), and you can choose between solo (one-to-one) or group lessons. Your monthly fee depends on the option you choose.
When your lessons take place
Lessons take place at your child’s school during the school day. Depending on agreement with the school, your lesson may be at a fixed time each week, or on a rotating timetable that moves through the school day from week to week — this is common in schools and helps make sure your child doesn’t miss the same academic class each time. We’ll let you know which arrangement applies at your school.
Getting to lessons
Where we can, our teachers will collect younger students from their classroom in primary schools, but we can’t always guarantee this. For health, safety and safeguarding reasons, we will never leave a student unsupervised. In secondary schools we cannot collect students because of the size of the school and the nature of the timetable; secondary students make their own way to and from their lesson.
Your teacher
We’ll always aim to keep you with the same teacher, but from time to time we may need to make a change or provide a cover teacher — for example if a teacher leaves us, is unwell, or is on holiday.
Instruments
Lessons are where we teach, but real progress happens through playing outside of the lesson. Your child will need access to their own instrument to play at home.
Drums, pianos and keyboards are provided for use during lessons. Students are required to bring their own instruments for all other lessons.
3.Your lesson year
Your membership follows the academic year, running from 1st September to 31st July, and includes 33 lessons across that year. If you join part-way through the year, your number of lessons for that year is pro-rated to reflect the time remaining.
When a lesson counts as offered
A lesson counts as being offered whenever your teacher is present at the school and available to teach at the agreed time. This means that if your child is absent, off timetable, or unable to attend for any reason on their side, that lesson still counts towards the 33 and a catch-up lesson is not issued or refunded. It also means we count the lessons we make available to you, not only the ones attended.
From time to time your child may perform in a school assembly as part of their learning. Where this happens, that performance may count as one of your 33 lessons offered for the year.
Lessons affected by school events
Schools sometimes hold events during the day — such as trips, sports days or exams — that mean a lesson can't go ahead. Where a lesson is cancelled because of a school event and we're given more than 48 hours' notice, that lesson won't be counted as one of your 33 lessons offered, so it isn't lost.
It is the account holder's responsibility to let us know about school events in good time.
Catch-up Lessons
Because your membership is built around offering 33 lessons a year, we only issue catch-up lessons if we’re unable to offer 33 lessons in the academic year (or the pro-rated amount if starting part way through the year) — for example if we’re unable to cover a teacher’s absence. If we fall short of 33, we’ll issue catchup lessons for the shortfall to use at our studio, so you always receive the full value of your membership.
Catch-up lessons are personal to the student and can’t be transferred to another member or student.
All catch-up lessons must be used before the start of the next academic year and before your membership ends — they can’t be carried over, used or refunded once your membership has finished.
4.Fees and payment
Your School Membership is an 11-month membership, with the cost spread evenly over 12 monthly payments, September to August. This keeps your payments consistent and manageable across the year, even though lessons don’t run in every single month. Payments are collected on the 1st of each month by recurring card payment (auto-pay). By joining, you authorise us to take these monthly payments until your membership ends or you tell us otherwise in line with these terms.
Your fee is a flat monthly amount. The number of lessons in any given month naturally varies — partly because calendar months aren't all the same length, and partly because of school holidays and closures when lessons don't run. So some months will contain more lessons than others, but your monthly payment always stays the same so you're always paying a consistent, predictable amount.
Your first payment
Your first month’s fee is payable in advance at the time of booking. If you join part-way through a month, this first payment is pro-rated to reflect only the membership remaining in that month. After that, your regular monthly fee is collected on the 1st of each month as above.
For example:
If you book on 2 June and your first lesson (when your membership starts) is on 15 June, your first payment would be 50% of a monthly fee — because your membership covers exactly half of that month — and it's payable at the time of booking on 2 June. Your first full monthly payment would then be collected as normal on 1 July, and on the 1st of each month after that.
If a payment fails
If a monthly payment doesn’t go through, we’ll let you know and try again. We may pause your lessons until your account is up to date, and, if payment remains outstanding, we may end your membership after giving you reasonable notice. Please keep your card details up to date to avoid any interruption to your lessons.
Changes to fees
From time to time, we may need to adjust our fees. If we do, we’ll always give you at least 1 month’s notice before the new fee applies, so you have time to decide what’s right for you.
5.Discounts
We offer the following discounts:
• 10% Pupil Premium Grant (PPG) discount — for students in receipt of PPG, once verified by their school.
• 10% additional-instrument discount — if your child learns a second instrument with us (discount applies to additional memberships).
• 10% family discount — for families with more than one learner (discount applies to additional memberships).
You can use up to two discounts at any one time. Discounts apply right across all of Good Vibes services and are not restricted to just the membership.
6.Changing, pausing and ending your membership
Making changes
You can make changes to your membership by giving us at least 1 month’s notice.
Putting your membership on hold
You can pause your membership for a full calendar month between September and July by giving us a minimum of 1 month’s notice. While your membership is on hold, any notice period is paused too — a hold can’t count towards your notice period, and the two can’t run at the same time. Please note that membership can’t be put on hold during August.
Ending your membership
To cancel your membership, please give us at least 1 month’s notice by completing our end-of-membership form:goodvibesmusicacademy.co.uk/end-membership. Your membership — and monthly payments — will continue through the 1-month notice period.
Leaving before the end of the academic year
The cost of your 33 lessons is spread evenly over 12 monthly payments to keep things manageable, but the lessons themselves are delivered between September and July. This means that if you leave before the end of August, you’ll usually have received more lessons than your payments have covered so far. To settle this fairly, when you leave we’ll send you one final “catch-up” invoice for the balance of membership you’ve used.
We work it out like this:
Final catch-up invoice = your monthly payment ÷ 12 × the number of months you’ve been learning since September that academic year.
For example, if your monthly payment is £37.50 and you leave having had lessons for 4 months (September to December), your final catch-up invoice would be £37.50 ÷ 12 × 4 = £12.50. This simply squares up what you’ve used against what you’ve paid, so everything is settled when you leave.
7.Your 14-day cooling-off period (new members)
When signing up for a Good Vibes membership, you have a 14-day “cooling-off” period during which you can change your mind and cancel your membership for any reason. We run this period from the date of your first lesson (rather than from the day you sign up).
If you cancel within the 14 days
We’ll refund what you’ve paid, less the pro-rata amount for any lessons and services you’ve already received during that period. Put simply, you only pay for membership you have actually used.
How to cancel within the cooling-off period
Just let us know in writing within the 14 days — email hello@gvma.co.uk or complete ourend-membership form.
Once your 14-day cooling-off period has ended, our standard 1 month’s notice applies if you wish to end your membership (see the section above).
8.If we can’t teach in person
Very occasionally we may not be able to teach in person — for example due to school closures, government-imposed travel restrictions, or other events outside our reasonable control. Where we can, and in agreement with the school, we’ll move your lesson online (for instance by video call), and this will count as your lesson for that week. If a lesson can’t go ahead at all and we fall short of your 33 lessons (or pro-rated number of lessons) for the year, we’ll issue a catch-up lesson. We won’t be responsible for lessons we can’t provide because of circumstances beyond our reasonable control, but we’ll always do our best to reschedule or make it up to you.
9.If we need to cancel your membership
We reserve the right to cancel a membership at any time. If we do, we’ll refund any unused portion of your membership, so you’re never left out of pocket for lessons or benefits you haven’t received.
10.Behaviour and code of conduct
Good Vibes is a positive and welcoming place to learn. We ask that students, parents and carers treat our teachers, staff and fellow members with courtesy and respect. In cases of serious or repeated unacceptable behaviour — such as abuse, threats, or behaviour that puts others, or Good Vibes’ equipment, at risk — we reserve the right to suspend or end a membership without refund of lessons already taken. We’ll always talk things through with you first wherever we reasonably can.
11.Supervision and safety
As lessons take place at school during the school day, students remain under the school’s care outside of their lesson. Good Vibes is responsible for students whilst they are in their lesson. For health, safety and safeguarding reasons we will never leave a student unsupervised.
12.Safeguarding and child protection
The safety and wellbeing of the children and young people we teach is our top priority. We have a robust safeguarding and child protection policy in place, and all our staff undergo enhanced DBS (Disclosure and Barring Service) checks. We have a Designated Safeguarding Lead, we work in line with each school’s own safeguarding arrangements, and any concerns are handled sensitively and in line with our policy. 13.Photos, video and performances
From time to time, we take photographs or video at lessons, workshops, performances and events — for example to celebrate our students, capture memories, or promote Good Vibes on our website and social media. We’ll only use images of students where we have your consent, and for under-18s we’ll seek the consent of a parent or guardian. You can decline, or withdraw your consent at any time, by emailing hello@gvma.co.uk, and we’ll stop using the relevant images going forward.
14.Our liability and belongings
Instruments and personal belongings are your child’s responsibility and are kept at their own risk — please don’t send anything valuable that isn’t needed for the lesson. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can’t be limited or excluded by law. Otherwise, our responsibility to you is limited to providing the lessons and membership you’ve paid for.
15.Data protection and privacy
We take your privacy seriously and handle personal data in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Working with your child’s school
Because lessons take place at school, we work closely with your child’s school to arrange and run them. You agree that we may share relevant information with the school — such as the student’s name, instrument, lesson timetable, attendance and information about their progress — so that lessons can be timetabled, registers kept, and your child supported in their musical development.
How we look after your data
We only collect the information we need to run your membership, arrange lessons, take payment and keep you informed. We keep it secure, we don’t sell it, and we only share it with others where it’s necessary to provide our service (such as with your child’s school, as above) or where the law requires it.
When it comes to payments, your card details are handled entirely by our trusted payment provider, Stripe, who processes them securely on our behalf. We never see or store your full card details ourselves.
Marketing
We’ll always send you the essential messages needed to run your membership, such as lesson reminders and payment information. We’ll only send you marketing or newsletters if you’ve opted in, and you can unsubscribe at any time.
You have rights over your personal data — including the right to access it, correct it, or ask us to delete it. To make a request or ask a privacy question, email us at hello@gvma.co.uk.
16.Complaints
We want every member to have a great experience, but if something isn’t right we’d like the chance to correct it. Please email us at hello@gvma.co.uk and we’ll look into it and get back to you as quickly as we can.
17.Changes to these terms
We may update these terms from time to time — for example, to reflect changes to how our memberships work or to keep up with the law. When we make changes, we’ll let you know.

Your membership is with Good Vibes Music Academy CIC, company number 14990568, whose registered address is 45 Bartholomew Street, Newbury, RG14 5QA. You can contact us any time at hello@gvma.co.uk.
These terms are governed by the law of England and Wales, and any disputes will be subject to the courts of England and Wales. If any part of these terms turns out to be unenforceable, the rest of them will still apply.

By signing up to a Good Vibes Music Academy membership, you confirm that you’ve read and agree to these Terms & Conditions.
