Studio Membership Terms & Conditions
Update July 2026 | Effective 1st September 2026
Welcome to Good Vibes Music Academy (“Good Vibes”, “we”, “us” or “our”). These terms explain how your studio membership works — what’s included, what we ask of you, and how things like payments, holds and cancellations are handled.
We’ve written them in plain English so they’re easy to follow. When you sign up to a membership, you’re agreeing to everything set out below. If anything is unclear, just email us at hello@gvma.co.uk and we’ll be happy to help.
What your membership includes
Every studio membership gives you:
A weekly lesson of either 30 or 60 minutes, depending on the option you choose when you sign up.
Individual, one-to-one tuition — your lessons are just you and your teacher.
A guaranteed lesson slot — the same day and the same time each week, so it’s easy to build into your routine.
50 lessons per year, which allows for our Christmas closure period.
Exclusive access to members-only courses, workshops, performance opportunities and events (additional costs may sometimes apply — we’ll always tell you before you book).
One-click digital exam entry and book ordering, so entering exams and getting your materials is quick and simple.
2.Your lessons
Your regular slot
Your membership secures the same lesson day and time each week. Keeping a consistent slot helps with making progress, so we ask that you treat it as a standing weekly commitment.
Your teacher
We’ll always aim for lessons with the same teacher, but from time to time we may need to make a change or provide a cover teacher — for example if a teacher leaves us, is unwell, or is on holiday.
Punctuality
Please arrive in good time for the lesson. Where students arrive late, we’ll teach the time that remains but lessons will still finish at their scheduled time so we don’t run into the next student’s slot.
Instruments
Lessons are where we teach, but real progress happens through playing outside of the lesson. Students need access to their own instrument to play at home.
Drums, pianos and keyboards are provided for use during lessons. Students are required to bring their own instruments for all other lessons
3.Fees and payment
Membership fees are payable on the 1st of each month, collected automatically by recurring card payment (auto-pay). By joining, you authorise us to take these monthly payments from your card until your membership ends or you tell us otherwise in line with these terms.
Your fee is a flat monthly amount. Because calendar months aren’t all the same length, some months will naturally contain more lessons than others — but your monthly payment stays the same. Over the year, this evens out across your 50 lessons, so you’re always paying a consistent, predictable amount.
Your first payment
The first month’s fee for all memberships is payable at the time of booking. If you join part-way through a month, this first payment is pro-rated to reflect the membership remaining in that month. After that, your regular monthly fee is collected on the 1st of each month as above.
For example:
If you book on 2 June and your first lesson (when your membership starts) is on 15 June, your first payment would be 50% of a monthly fee — because your membership covers exactly half of that month — and it's payable at the time of booking on 2 June. Your first full monthly payment would then be collected as normal on 1 July, and on the 1st of each month after that.
If a payment fails
If a monthly payment doesn’t go through, we’ll let you know and try again. We may pause your lessons until your account is up to date, and, if payment remains outstanding, we may end your membership after giving you reasonable notice. Please keep your card details up to date to avoid any interruption to your lessons.
Changes to fees
From time to time, we may need to adjust our fees. If we do, we’ll always give you at least 1 month’s notice before the new fee applies, so you have time to decide what’s right for you.
4.Discounts
We offer the following discounts:
10% Pupil Premium Grant (PPG) discount — for students in receipt of PPG, once verified by their school.
10% additional-instrument discount — if you learn a second instrument with us (discount applies to additional memberships).
10% family discount — for families with more than one learner (discount applies to additional memberships).
You can use up to two discounts at any one time. Discounts apply right across all of Good Vibes services and are not restricted to just the membership.
5.Missed, cancelled and rescheduled lessons
Never Miss a Lesson guarantee
We know life happens, so with reasonable notice you can catch lessons up. You may cancel up to 2 lessons in any rolling 60-day period and be issued a catch-up lesson to make each one up.
Each catch-up lesson must be used within 30 days of the affected lesson.
If you cancel more than 2 lessons within a rolling 60-day period, those additional lessons are forfeited.
If you need to cancel a lesson
To make sure that we are able to action your request in time, you must cancel your lesson via your Good Vibes login on the website giving more than 24 hours before your lesson if you’d like a catch-up lesson issued. Any lesson cancelled with less than 24 hours’ notice is forfeited and no catch-up lesson will be issued.
If you need to reschedule a lesson
Your membership is built around a regular lesson on the same day at the same time, and it isn't designed for lessons to be moved around often — keeping to a consistent slot is what helps your child make steady progress. We understand that now and then a lesson may need to move, though. If you do need to reschedule, simply cancel the lesson in the usual way to receive a catch-up lesson, and then use that catch-up lesson to book a new time, subject to teacher availability.
As with any cancellation, the notice you give determines whether a catch-up lesson is issued (see above), so please let us know as early as you can.
If a student is unwell
If a student is unwell and can’t attend, please let us know as early as you can. Lessons missed through illness are treated the same as any other cancellation, so the 24-hour notice rule and the Never Miss a Lesson guarantee (below) both apply. Giving us as much notice as possible means we’re far more likely to be able to help you catch the lesson up.
If we cancel a lesson
If one of our teachers needs to cancel, we’ll issue you a catch-up lesson so that you never miss a lesson. Catch-up lessons for teacher cancellations must be used within 60 days of the affected lesson.
6.Changing, pausing and ending your membership
Making changes
You can make changes to your membership by giving us at least 1 month’s notice.
Putting your membership on hold
You can pause your membership for a full calendar month by giving us a minimum 1 month’s notice. While your membership is on hold, any notice period is paused too — a hold can’t count towards your notice period, and the two can’t run at the same time.
Ending your membership
To cancel your membership, please give us at least 1 month’s notice by completing our end-of-membership form:goodvibesmusicacademy.co.uk/end-membership. Your membership — and monthly payments — will continue through the 1 month notice period.
7.Your 14-day cooling-off period (new members)
When signing up for a Good Vibes Membership, you have a 14-day “cooling-off” period during which you can change your mind and cancel your membership for any reason. We run this period from the date of your first lesson (rather than from the day you sign up).
Lessons during the cooling-off period
Your cooling-off period begins with your first lesson, so you’ll usually have two lessons during these 14 days.
If you cancel within the 14 days
We’ll refund what you’ve paid, less the pro-rata amount for any lessons and services you’ve already received during that period. Put simply, you only pay for membership you have actually received.
How to cancel within the cooling-off period
Just let us know in writing within the 14 days — email hello@gvma.co.uk or complete ourend-membership form.
Once your 14-day cooling-off period has ended, our standard 1 month’s notice applies if you wish to end your membership (see the section above).
8.Catch-up Lesson
A few simple rules keep catch-up lessons fair for everyone:
Catch-up lessons issued from a lesson you cancel must be used within 30 days of the affected lesson.
Catch-up lessons issued from a lesson we cancel must be used within 60 days of the affected lesson.
Once a catch-up lesson has been used to book a lesson, it can't be re-issueed or rescheduled — if that catch-up lesson is then cancelled, for any reason and however much notice you give, the catch-up lesson is used up and the lesson is forfeited.
Catch-up lessons are personal to the student and can’t be transferred to another member or student.
All catch-up lessons must be used before your membership ends — they can’t be carried over, used or refunded once your membership has finished.
9.If we can’t teach in person
Very occasionally we may not be able to teach in person — for example due to government enforced travel restrictions, severe weather, or other events outside our reasonable control. Where we can, we’ll move your lesson online (for instance by video call), and this will count as your lesson for that week. If we’re unable to deliver a lesson at all, we’ll issue you a catch-up lesson. We won’t be responsible for lessons we can’t provide because of circumstances beyond our reasonable control, but we’ll always do our best to reschedule or make it up to you.
10.If we need to cancel your membership
We reserve the right to cancel a membership at any time. If we do, we’ll refund any unused portion of your membership, so you’re never left out of pocket for lessons or benefits you haven’t received.
11.Behaviour and code of conduct
Good Vibes is a positive and welcoming place to learn. We ask that students, parents and carers treat our teachers, staff and fellow members with courtesy and respect. In cases of serious or repeated unacceptable behaviour — such as abuse, threats, or behaviour that puts others, or Good Vibes’ equipment, at risk — we reserve the right to suspend or end a membership without refund of lessons already taken. We’ll always talk things through with you first wherever we reasonably can.
12.Supervision and safety
Good Vibes is responsible for students only while they are in their lessons. We are not able to supervise students before or after lessons, including in the waiting area. Please make sure younger students are accompanied and looked after outside of lesson times.
13.Safeguarding and child protection
The safety and wellbeing of the children and young people we teach is our top priority. We have a robust safeguarding and child protection policy in place, and all our staff undergo enhanced DBS (Disclosure and Barring Service) checks. We have a Designated Safeguarding Lead, and any concerns are handled sensitively and in line with our policy. 14.Photos, video and performances
From time to time, we take photographs or video at lessons, workshops, performances and events — for example to celebrate our students, capture memories, or promote Good Vibes on our website and social media. We’ll only use images of students where we have your consent, and for under-18s we’ll seek the consent of a parent or guardian. You can decline, or withdraw your consent at any time, by emailing hello@gvma.co.uk, and we’ll stop using the relevant images going forward.
15.Our liability and your belongings
Instruments and personal belongings brought to, or left at, our premises are your responsibility and are kept at your own risk — please don’t leave anything valuable behind. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can’t be limited or excluded by law. Otherwise, our responsibility to you is limited to providing the lessons and membership you’ve paid for.
16.Data protection and privacy
We take your privacy seriously and handle personal data in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Sharing progress with your school
Where a student attends a school, you agree that we may share relevant information with that school — specifically the student’s name, instrument, and information about their progress. This helps schools support their pupils’ musical development.
How we look after your data
We only collect the information we need to run your membership, arrange lessons, take payment and keep you informed. We keep it secure, we don’t sell it, and we only share it with others where it’s necessary to provide our service (such as with your school, as above) or where the law requires it.
When it comes to payments, your card details are handled entirely by our trusted payment provider, Stripe, who processes them securely on our behalf. We never see or store your full card details ourselves.
Marketing
We’ll always send you the essential messages needed to run your membership, such as lesson reminders and payment information. We’ll only send you marketing or newsletters if you’ve opted in, and you can unsubscribe at any time.
You have rights over your personal data — including the right to access it, correct it, or ask us to delete it. To make a request or ask a privacy question, email us at hello@gvma.co.uk.
18.Complaints
We want every member to have a great experience, but if something isn’t right we’d like the chance to correct it. Please email us at hello@gvma.co.uk and we’ll look into it and get back to you as quickly as we can.
19.Changes to these terms
We may update these terms from time to time — for example, to reflect changes to how our memberships work or to keep up with the law. When we make changes, we’ll let you know.
20.About these terms
Your membership is with Good Vibes Music Academy CIC, company number 14990568, whose registered address is 45 Bartholomew Street, Newbury, RG14 5QA. You can contact us any time at hello@gvma.co.uk.
These terms are governed by the law of England and Wales, and any disputes will be subject to the courts of England and Wales. If any part of these terms turns out to be unenforceable, the rest of them will still apply.

By signing up to a Good Vibes Music Academy membership, you confirm that you’ve read and agree to these Terms & Conditions.
