Studio Membership Terms & Conditions

Effective 1st September 2025


Our teachers reserve time on their schedules, plan for your lessons, and invest in the long-term development of each student. In order to be fair to all customers and students and to be able to provide regular, high quality lessons, the following policies need to be observed.


Studio Lesson Memberships


  1. Your membership includes:

    1. A weekly lesson (or bi-weekly, as selected at the time of booking) year-round, with the exception of advertised company closures.

    2. Tuition delivered by an expert teacher in that instrument.

    3. A  fixed lesson on  an agreed day of the week and at an agreed fixed time.

    4. Lesson reminders.

    5. Access to online resources and learning portal.

    6. Progress reports following the end of each lesson.

    7. Opportunities to take part in performances and other events. 

    8. Free entry for Trinity Rock and Pop initial grade (pre-grade 1) digital (recorded) exam for the instrument chosen for your membership (limited availability of instrument options: guitar, bass, keys, vocals & drums) - available after 6 months of being a member

    9. Discounted digital exam entry for grade 1+ (available after 6months of being a member)

    10. Discounted Trinity Rock and Pop exam books & digital downloads.

  2. With the exception of drum, keyboard and piano lessons, students are required to bring their own instrument to lessons.

  3. Educational materials, music books, instruments and other accessories are available separately at an additional cost.

  4. Membership is a commitment to weekly (or bi-weekly, if selected at time of booking) lessons and, for a majority of the year, this should remain the norm.  We do recognise that students will be unavailable for short periods due to holidays, illness, life events etc.  These are usually infrequent and are handled within the ‘If you are unable to make a lesson’ section below.  If a change in circumstance means that it is difficult to commit to the regular lesson day or time, a change to membership subscription can be implemented by following the ‘If you need to make a change to your membership subscription’ section below.

  5. We recognise the role that commitment to consistent lessons plays in aiding pupil progress and commit to the same values.


Membership Fees


  1. Membership subscription is payable monthly in advance and is due on the 1st of each month (unless otherwise agreed).

  2. The first month’s fee is payable at the time of booking and is prorated based on the number of lessons due between the first lesson date and the end of the first month.

  3. Membership subscriptions are paid for via recurring card payment set up at the time of booking.  We do not accept cash payments.

  4. We reserve the right to cancel lessons with immediate effect if membership fees remain unpaid for a month.  In such instances, any make-up lessons will be forfeited.

  5. Membership fees are reviewed periodically. Customers will be provided with a minimum of 30-days’ notice prior to the change taking effect.  


Attending your lesson


  1. Students are required to arrive ahead of their  lesson time so that the lesson can start on time and you receive the full amount of time.

  2. Students who arrive late will only be offered the remaining time available for the lesson slot.  In such instances, we cannot guarantee to deliver the full lesson length.

If you want to stop your membership subscription


  1. There is a 14-day introductory period from the date of booking during which time you can cancel your membership with immediate effect and without providing any notice period.  Any reasonable costs incurred, and all lessons provided during the introductory period will still be payable at a prorated monthly membership rate.

  2. Outside of the introductory period, you can cancel your membership subscription at any time by providing a month’s notice to finish at the end of the following month, e.g., notice provided on 17th May means the earliest date that your membership subscription will stop is 30th June.

  3. To cancel your membership, you must complete the ‘Tell us your leaving’ form which can be accessed via the footer on our website or by clicking here.  We are not able to accept notifications to stop memberships via other means of communication.  There are no exceptions.

  4. Any make-up credits accrued must be used prior to the final day of the membership subscription.  

  5. No refund or financial credit will be issued for unused make-up credits, and missed or unused lessons, or any lessons forfeited during the notice period.

  6. Memberships and any unused make-up credits are not transferrable.

  7. You may withdraw your notice to stop your membership at any time before it takes effect however the same teacher, day and/or time cannot be guaranteed.

  8. We reserve the right to terminate membership, in which case prorated tuition will be refunded.


If you are unable to attend a lesson


  1. If you are unable to attend a lesson, you must let us know via the lesson portal by clicking the ‘cancel’ button on the upcoming lesson.  We are not able to accept requests to cancel a lesson via any other means of communication.

  2. If you provide more than 24hrs notice that you are unable to make a lesson, you will automatically be issued with a ‘catch-up lesson credit’ which is valid for 30-days.  See ‘using my catch-up credits’ below.

  3. If you do not provide any, or provide less than 24hrs notice, the lesson affected will be forfeited and no catch-up service credit will be issued.

  4. You can cancel a maximum of 2 lessons in a rolling 60-day period.

  5. If you are going to be away for a prolonged period of time, you are able to freeze your membership subscription.  See ‘If you need to freeze your membership’ below.

  6. No refund or financial credit will be issued for any missed lessons or unused catch-up lesson credits.


If our teacher is unable to make a lessons


  1. If our teacher is unable to make a lesson, a substitute teacher may be provided so that your lesson can still go ahead as planned and you are able to continue making progress with your learning. 

  2. If a substitute teacher is not able to be provided, you will be issued with a ‘staff catch-up credit’ which is valid for 60-days.  See ‘using my catch-up credits’ below.


Using my catch-up credits


  1. Catch-up credits have a different booking period depending on the type of make-up lesson:

    1. Student catch-up credits have a 30-day booking period.

    2. Staff catch-up credits have a 60-day booking period.

  2. The catch-up lesson must be booked before the end of the booking period.  The actual lesson may take place on a date after the end of the booking period.

  3. A catch-up lesson can only be booked with the same teacher.

  4. Catch-up credits that are not booked before the end of the booking period will be forfeited and marked as ‘expired’.

  5. You can self-book catch-up credits using the online portal or in person via the front of house team.  

  6. You can only have a maximum two ‘student catch-up credits’ waiting to be used at any one time.  Any lessons that are cancelled by the student whilst there are two unused make-up credits will be forfeited. 

  7. Any staff catch-up credits issued will continue to accrue and will not affect the number of available student make-up credits.

  8. Catch-up lessons can be booked a maximum of 30 days in advance.

  9. Once booked, a catch-up lesson cannot be rescheduled, except in exceptional circumstances.  

  10. If the catch-up lesson is cancelled by the customer, the lesson will be forfeited.

  11. Any catch-up credits accrued must be used prior to the final day of the membership subscription.

  12. Catch-up lessons and credits are not transferable.

  13. No refund or financial credit will be issued for any missed or unused catch-up lesson credits.


If you need to make a change to your membership subscription


  1. If you wish to change membership type or wish to change instruments and the teacher remains the same, the changes can be made with a minimum of 24hrs notice ahead of the next lesson, subject to availability within the timetable.

  2. If the change involves a change of teacher, we require a month’s notice to change at the end of the following month.

  3. Any changes required because of an upheld complaint will be made with immediate effect.  See ‘If you’re not happy with the service’ below.


If you need to freeze your membership subscription


  1. We understand that sometimes you need to take a break from lessons for more than a couple of weeks but still want to keep your fixed lesson time when you return.  Freezing your membership subscription allows you to keep your fixed lesson slot whilst taking a break.

  2. You can freeze your membership for up to one entire calendar month once within a rolling 12-month period.

  3. Freezing membership is only available in entire months and only starting on the 1st of the month.

  4. A minimum notice of 7 days is required to be able to freeze your membership.


If you’re not happy with the service


  1. We hope that you enjoy the whole of your time learning.  In the unlikely event that something doesn’t meet your expectations, please contact our Studio Team in the first instance.

  2. If the issue remains unresolved to your satisfaction, you can request that our Studio Team  escalate your complaint to the Head of Operations or the Head of Education who will investigate your concern.

  3. Please refer to our Safeguarding and Child Protection policy for safeguarding related issues.  Our Safeguarding and Child Protection policy supersedes and takes priority in all instances.

  4. All complaints and feedback will be treated seriously, fairly and, if appropriate, in confidence.

  5. If appropriate, the person making the complaint will be kept informed of progress made regarding the complaint through to resolution. 


Signing in at the Studio


  1. All students are required to sign in when attending the studio.


Student Supervision


  1. Students under the age of 18 are supervised at all times whilst in the care of the teacher during the booked lesson time.  However, Good Vibes Music Academy is  not responsible for supervising or providing care before or after lessons for students.


Safety


  1. You assume all risk of injury or harm to the child(ren) or adult(s) associated with participation in musical activities at Good Vibes Music Academy and agree to release, indemnify, defend and forever discharge Good Vibes Music Academy and its officers and staff from all liability, claims, demands, damages, costs, and expenses in the unlikely event of injury sustained by your child(ren) or adult student during the course or as a result of their participation in Good Vibes Music Academy musical activities.


Data Protection


  1. All customer and student information is kept in accordance with the Data Protection Act 1998.

  2. By becoming a member of Good Vibes Music Academy, you are agreeing to Good Vibes Music Academy storing and processing your data in line with the Data Protection act 1998.

  3. Good Vibes Music Academy does not store any bank or card details.


Disclaimer


  1. We reserve the right to refuse service to anyone.


These terms and conditions


  1. These terms and conditions are effective upon enrolment as a member of Good Vibes Music Academy.

  2. These terms and conditions may be amended from time to time.  We will let you know as and when any changes to these terms and conditions are made.
