Workshop & Courses Terms & Conditions

These terms explain how booking onto a Good Vibes Music Academy (“Good Vibes”, “we”, “us” or “our”) workshop or course works — including how to book, how payment works, and what happens if you or we need to cancel.
We’ve written them in plain English so they’re easy to follow. When you book a place on a workshop or course, you’re agreeing to everything set out below. If anything is unclear, just email us at hello@gvma.co.uk and we’ll be happy to help.
What we mean by workshops and courses
A workshop is usually a one-off session on a particular theme, instrument or skill. A course is a set of sessions that run over a number of days or dates. Each workshop and course has its own details — such as the dates, times, venue, age or level guidance, and price — which we’ll show you when you book. These terms apply alongside those specific details.
2.Booking and payment
Our workshops and courses are available exclusively to Good Vibes members. Where we choose to open a course or workshop to non-members, our members will always be given priority access to booking.
Places are booked on a first-come, first-served basis and are confirmed once payment is received. The full fee is payable at the time of booking to secure your place — a place isn’t held until it’s paid for.
Some workshops and courses have a limited number of places, and popular sessions can fill up quickly. If a session is full, you may be able to join a waiting list — just ask.
If you already receive a membership discount, that discount applies to course and workshop fees.
3.If you need to cancel — refunds
We understand that plans change. Our refund policy is simple and depends on how much notice you give before the workshop or course begins:
Fees are only refunded if you cancel more than 7 days before the start date. If you cancel with 7 days’ notice or less, the fee is non-refundable.
“More than 7 days’ notice” means we receive your cancellation more than 7 full days before the start date of the workshop, or before the first session of a course. To cancel, just let us know in writing by emailing hello@gvma.co.uk. Where we can, we’ll also try to transfer your place to a future date instead of a refund if you’d prefer — but this isn’t always possible and is at our discretion.
Missing part of a course
If you book a course and can’t attend one or more of the sessions, we’re not able to refund or credit the sessions you miss, as your place is reserved for the whole course.
4.If we change or cancel a workshop or course
Occasionally we may need to change the date, time, venue of a workshop or course. Where we make a significant change, we’ll let you know as soon as we can and, if the new arrangement doesn’t suit you, you can transfer to another session or receive a full refund.
Some workshops and courses need a minimum number of participants to run. If we have to cancel a session because we don’t reach those numbers, or for any other reason, we’ll offer you a transfer or a full refund of the fee for the cancelled session.
5.Who workshops and courses are for
Each workshop and course has guidance on who it’s designed for — such as an age range or a suggested level of experience. Please check this before you book, so the session is a good fit. If a session turns out not to be right for a participant, we’ll do our best to suggest a more suitable one. Workshops and courses involving children and young people are open to under-18s with the consent of a parent or guardian, who is responsible for the booking.
6.What to bring
Where a workshop or course requires a particular instrument, equipment or materials, we’ll tell you what to bring when you book. Some sessions include materials in the price, and some may have an additional materials cost, which we’ll always make clear beforehand. Instruments and personal belongings you bring remain your responsibility (see “Our liability and belongings” below).
7.Behaviour and code of conduct
Good Vibes is a positive and welcoming place to learn. We ask that participants, parents and carers treat our tutors, staff and fellow participants with courtesy and respect. In cases of serious or repeated unacceptable behaviour — such as abuse, threats, or behaviour that puts others at risk — we reserve the right to ask someone to leave a session, or to decline a future booking, without refund. We’ll always talk things through with you first wherever we reasonably can.
8.Supervision and safety
Good Vibes is responsible for participants for the duration of the workshop or course session itself. We are not able to supervise participants before or after a session, including in any waiting area.
9.Safeguarding and child protection
The safety and wellbeing of the children and young people who attend our workshops and courses is our top priority. We have a robust safeguarding and child protection policy in place, and all our staff undergo enhanced DBS (Disclosure and Barring Service) checks. We have a designated Safeguarding Lead, and any concerns are handled sensitively and in line with our policy. 10.Photos, video and performances
From time to time, we take photographs or video at workshops, courses, performances and events — for example to celebrate our participants, capture memories, or promote Good Vibes on our website and social media. We’ll only use images of participants where we have your consent, and for under-18s we’ll seek the consent of a parent or guardian. You can decline, or withdraw your consent at any time, by emailing hello@gvma.co.uk, and we’ll stop using the relevant images going forward.
11.Our liability and belongings
Instruments and personal belongings brought to a workshop or course are your responsibility and are kept at your own risk — please don’t bring anything valuable that isn’t needed for the session. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can’t be limited or excluded by law. Otherwise, our responsibility to you is limited to providing the workshop or course you’ve paid for.
12.Data protection and privacy
We take your privacy seriously and handle personal data in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Sharing progress with your school
Where a student attends a school, you agree that we may share relevant information with that school — specifically the student’s name, instrument, and information about their progress and name of course or workshop they participated in. This helps schools support their pupils’ musical development.
How we look after your data
We only collect the information we need to run and keep you informed about the course or workshop. We keep it secure, we don’t sell it, and we only share it with others where it’s necessary to provide our service (such as with your school, as above) or where the law requires it.
Marketing
We’ll always send you the essential messages needed to run your membership, such as lesson reminders and payment information. We’ll only send you marketing or newsletters if you’ve opted in, and you can unsubscribe at any time.
You have rights over your personal data — including the right to access it, correct it, or ask us to delete it. To make a request or ask a privacy question, email us at hello@gvma.co.uk.
13.Complaints
We want everyone to have a great experience, but if something isn’t right we’d like the chance to put it right. Please email us at hello@gvma.co.uk and we’ll look into it and get back to you as quickly as we can.
14.Changes to these terms
We may update these terms from time to time — for example, to reflect changes to how our workshops and courses work or to keep up with the law. The terms that apply to your booking are the ones in place at the time you book.

These terms are governed by the law of England and Wales, and any disputes will be subject to the courts of England and Wales. If any part of these terms turns out to be unenforceable, the rest of them will still apply.
16.Your agreement
By booking a place on a Good Vibes Music Academy workshop or course, you confirm that you’ve read and agree to these Terms & Conditions.
